Divyarshi AI Private Limited (“Divyarshi AI”, “we”, “us”) builds software for universities and educational institutions, including student information systems, learning platforms, admissions software and messaging services.
This policy explains what personal information we handle, why, who we share it with, and the choices available to you. It applies to our websites, our products, and the messages we send on behalf of the institutions we work for.

1. Our role
Most of the personal information we handle belongs to students, applicants and staff of the institutions that use our software. In those cases the institution decides what is collected and why, and we process it on their written instructions as their service provider. The institution’s own privacy notice governs that information.
We act on our own behalf only for information collected through this website and through direct enquiries to us.
2. Information we handle
Provided by an institution or by the individual
- Name, date of birth, gender, photograph
- Contact details — email address, mobile number, postal address
- Academic records — applications, enrolment, programme and course data, attendance, assessments and results
- Government identifiers where an institution is required by law or by a regulator to collect them, such as an Aadhaar-backed ABC or DEB ID for admissions
- Payment records — amounts, dates and transaction references. Card and bank credentials are handled by the payment gateway and never reach our systems.

- Sign-in and activity records, and audit logs of changes made in the software
- Messages sent and received — email, SMS, WhatsApp and in-app notifications, with their delivery status
- Class recordings, transcripts and summaries where an institution has enabled them
- Device and browser information, IP address and cookies necessary to keep sessions secure
3. WhatsApp and SMS messaging
Where an institution asks us to, we send messages on its behalf using the WhatsApp Business Platform and SMS. Messages are sent from the institution’s own registered sender, and are limited to the purpose the institution states — for example admission updates, fee reminders, class and examination notices, and replies to questions the recipient has asked.
- We send messages only to numbers an institution has lawfully collected, and only where consent or another lawful basis exists.
- Message content and delivery status are stored so the institution has a record of what was sent. We do not sell this information or use it for advertising.
- A recipient may stop messages at any time by replying STOP to a WhatsApp or SMS message, or by writing to the institution or to us. Opt-outs are honoured across the channel.
- Some conversations may be answered by an automated assistant. It answers questions about the institution and its programmes, and does not make decisions about an application or a result.
- Information exchanged over WhatsApp also passes through Meta Platforms under its own terms and privacy policy.
4. Why we handle it
- To provide the software an institution has engaged us for, and to support and secure it
- To send the communications an institution has asked us to send
- To meet legal and regulatory obligations, including submissions to bodies such as the University Grants Commission where an institution is required to make them
- To detect and prevent fraud, abuse and unauthorised access
We do not sell personal information, and we do not use student or applicant information for advertising.
5. Who we share it with
- The institution the information belongs to
- Service providers who work under contract for us — cloud hosting and storage, email, SMS and WhatsApp delivery, payment gateways and video conferencing. They may use the information only to perform their service for us.
- Regulators and authorities where an institution is required to report, or where the law requires disclosure
Some providers operate outside India. Where information is transferred abroad we require contractual protections appropriate to it.
6. How long we keep it
We keep information for as long as the institution’s agreement with us requires, and for as long as the law or a regulator requires afterwards. When an institution ends its agreement, we return or delete the information it holds with us on its instruction, apart from copies retained in backups for a limited period or where retention is legally required.
7. How we protect it
- Encryption in transit, and at rest for stored files
- Access limited to the people who need it, with roles and permissions, and two-factor authentication on administrative accounts
- Audit logging of administrative changes
- Regular security testing and patching, and monitored backups
8. Your choices
You may ask to see the information held about you, to have it corrected, to have it deleted where the law allows, and to stop receiving messages. If the information belongs to an institution’s records, please contact that institution first — we will assist them in answering you.

9. Children
Our software is used by institutions whose learners may be under 18. We do not knowingly collect information directly from a child; it reaches us from the institution, which is responsible for obtaining any consent the law requires.
10. Changes
If we change this policy we will update the date at the top of this page, and we will tell the institutions we work for where the change is material.
